Iowa’s health care system is not overwhelmed. Why is our economy still closed?

In response to the coronavirus, Americans were told by their federal and state governments to shut down their businesses, stop going to church, work, school or out to eat, travel only when necessary and hunker down at home. Originally, Americans were led to believe this was for a two- or three-week period, in order to flatten the curve and not overwhelm our health care system.

At seven weeks and counting, with staggering economic loss that will leave families and thousands of small businesses and farmers with profound devastation, the question must be asked, are we trying to flatten the curve or flatten our country?

The initial models that pointed to staggering loss of life from the coronavirus have proved wildly inaccurate. As of May 2, the CDC placed the number of deaths in the U.S. from the virus at 66,746. While all loss of life is deeply regrettable, these numbers cannot be considered in a vacuum. For perspective, deaths from pneumonia in the U.S. during the same period were 64,382, with average yearly deaths from influenza in the same range.

The original goal of closing much of the U.S. economy and staying at home was to flatten the curve of new coronavirus cases so that our hospital systems would not be overwhelmed. Hospitals built by the Army Corps of Engineers to handle the increased volume have mostly been taken down. Except for a few spots in the U.S. the health care system was not overwhelmed. As the medical models of casualties from the coronavirus continue to be adjusted down, it is clear the curve has been flattened, so why do we continue to stay closed and worsen the economic devastation that tunnel vision has thus far kept many of our leaders from acknowledging?

Many health experts say 80 percent of Americans will get the coronavirus and experience only mild symptoms. The curve has been flattened. Our health care system is not overwhelmed. Why is our economy, for the most part, still closed?

A University of Washington study recently revised the projected number of deaths from the coronavirus in Iowa from 1,367 to a much lower estimate of 365. While all loss of life is horrific, we must also consider the devastation being done to our economy, our families and our way of life by actions taken to combat the coronavirus.

It must be noted that 578 Iowans died from the flu and pneumonia in 2017, a greater number than are likely to pass away from the coronavirus. We also know that many who die from the virus are elderly with underlying health conditions, increasing the likelihood that any serious illness could result in their death. Are draconian government restrictions in response to the coronavirus still needed and economically sustainable? The data shows that the answers to both questions is no. We are no longer flattening the curve; we are flattening our state and nation.

We have seen the medical data. What has been less visible in news conferences and in the overall reporting of the coronavirus and our response to it, are the economic and human costs of what we are doing:

• 30 million Americans are out of work and the number grows daily.

• Dairy farmers are pouring out milk they have no market for.

• Pork producers are euthanizing hogs they have no market for.

• According to a study by Iowa State University, the losses to Iowa Agriculture are at a staggering $6.7 billion and growing, with the largest losses in pork production and ethanol.

• In Iowa, the economic loss for corn is estimated to be $788 million, $213 million for soybean and $34 million for cattle.

• The Iowa Restaurant Association estimates that between 10 & 25% of Iowa’s restaurants will not reopen.

• Iowa’s public universities are predicting a $187 million loss.

• Iowa is spending $200 million or more per month on unemployment claims, with over 171,000 Iowans unemployed.

• 29 percent of the U.S. economy is frozen as a result of government action, with U.S. economic output down 29 percent.

• U.S. unemployment could soon hit 47 million.

• Losses to U.S. tourism are predicted to top $910 billion.

• Retirement plans for millions of Americans are being decimated, with recent reports projecting the average 401(k) loss at 19 percent.

• Drug and alcohol addiction and relapse are increasing.

• Testing for chronic diseases such as high blood pressure, diabetes and heart disease are being delayed, which could lead to increasing health problems and life-threatening illnesses in the future.

• Economic damage to rural hospitals could lead to hospital closures and less access to health care in some areas.

• Warnings of a possible meat shortage in the U.S. have been issued by executives of Farmland and Tyson, with reports that the food supply chain is under stress. Several grocery store chains are now limiting meat purchases and some national restaurant chains are no longer offering certain meat products on their menus. Higher meat prices are almost certain in the months to come.

• Huge U.S. debt increases unlike anything seen since World War II, to the tune of over $3 trillion and counting, are adding to the already monstrous $22 trillion in U.S. debt. This does not bode well for our children or future economic stability.

The list of consequences goes on and on, and behind each of the statistics is a family struggling to survive, a father and mother fearful of how they will care for their children, a small-business owner seeing their dreams and hard work destroyed overnight by draconian government mandates, a restaurant owner deciding never to reopen, a dairy farmer throwing in the towel and a business owner postponing indefinitely plans for expanding.

Behind these numbers is an economy greatly impacted by the government response to the coronavirus, with implications for our economic well-being profound and long lasting. Expansion projects delayed, business closures, layoffs and contraction for many businesses will likely keep unemployment numbers high and depress economic expansion for an unknown amount of time.

Let us be clear, it grows worse every day we remain closed.

Do your duty, wear a mask

When I wear a mask to go into the grocery store or the post office, it’s not because I think it protects me from coming down with the coronavirus. I wear it to protect the people around me.

I am lucky to be in a position where I can follow the CDC guidelines to maintain social distancing, practice vigilant hygiene and stay at home for the most part. When I am in the grocery store I am grateful for the measures taken to protect customers and employees as much as possible from exposure to the virus. I wear a mask so I do not defeat the safeguards in place to protect public health. I have no symptoms. But I have not been tested. I cannot guarantee that I am not an asymptomatic carrier. By wearing a mask when I shop, making sure I wash and sanitize my hands before I go to the store, handling as few items on the shelves as possible, and maintaining a six foot distance from my fellow shoppers, I can guarantee I have done my part to protect them and the dedicated store employees serving us. But even more important, I am protecting the people at home where these customers and workers return when they leave the store. It is a very small thing to do but it is my duty to do it.

Iowa’s senior care workers need our support

COVID-19 is a brutal villain, infecting millions and taking more than 185,000 lives worldwide, just over 100 of which were Iowans at the time of this writing. In the face of this, Iowans are showing the strength of their character. Individual acts of courage have become everyday occurrences. Nowhere is this truer than in our state’s long-term care centers.

The threat facing those in long-term care is unprecedented. Because many who are infected remain asymptomatic, efforts to prevent the virus from being introduced into facilities has proved difficult. Once the virus is introduced, it is hard to impede its spread — and virtually impossible without enhanced testing capabilities and more personal protective equipment (PPE) than we have access to today.

Long-term care providers have taken unprecedented steps to protect their residents, including prohibiting non-essential visitors in early March. Unfortunately, even with these measures and following guidance from the Centers for Medicare and Medicaid Services, the Centers for Disease Control and Prevention and other public health officials, more than 3,600 long-term care facilities nationwide have been impacted by the virus, including 13 in Iowa.

Yet, in the face of this challenge, our long-term care workers are performing with a valor we have not seen during peacetime in a generation; maybe two.

While many of us are hunkered down in our homes teleworking and spending time with our families, these caregivers are leaving their families to provide care for the loved ones of others. What these caregivers are doing and what they are sacrificing is remarkable. We owe them our gratitude, and we owe them our best efforts to address their critical needs.

Adequate PPE and routine testing for long-term care are paramount. While there has been significant attention paid to providing hospitals with PPE, it is imperative we not overlook those working in long-term care.

More than 70% of long-term care facilities nationwide report they lack enough PPE. This not only puts our caregivers at risk, it also puts the people they care for at greater risk. Preventing the introduction of the virus and containing its spread in nursing homes and assisted living facilities is one of the most important things we must do to relieve pressure on hospitals now.

Testing is a critical area where more support is needed. There are protocols in place to limit the spread of the virus once it is in a facility, including establishing isolation wings where those who have the virus are kept apart from the rest of the residents and are cared for by staff who do not interact with those in the rest of the building. But the virus leaves many of those infected without symptoms, these steps cannot be effectively implemented without broader testing.

We applaud Gov. Kim Reynolds’ recent action to broaden testing for some of Iowa’s long-term care staff. Equally important is the plan to address potential staff shortages which may result from expanded testing. Since a test result only captures an individual’s infection status for a fixed period of time, long-term care staff and residents must be prioritized at the highest level to receive ongoing testing to effectively identify infections and respond as early as possible.

Those one the front lines of this fight need the tools to confront, contain and ultimately defeat the virus. There is reason to be hopeful. Even though residents of long-term care are particularly at risk, most recover from the virus. Caregivers can do even more amazing work if we get them the tools they need: protective equipment, testing and staffing.

It is time to rally around our long-term care residents and staff, and give them the support they need and deserve.

Iowa’s DHS team deserves our thanks

Right now, there are so many things that are hard to believe. It’s hard to believe we’re in the midst of a global pandemic. It’s hard to believe how much things have changed how incredibly quickly. It’s hard to believe I’ve only been the Iowa Department of Human Services director for six months. What is not hard to believe is how our team at DHS has stepped up during this public health emergency. In my short time in the great state of Iowa, I have seen our team do incredible things. In honor of Public Service Recognition Week, I want to take a moment to talk about #TeamDHS and their unwavering dedication to those we serve.

The DHS mission is to help Iowans achieve healthy, safe, stable, and self-sufficient lives through the programs and services we provide. To accomplish this mission in typical times, our team wakes up every day to do difficult work. Our front-line staff often work holidays, evenings and weekends, sacrificing time with their own families to serve others. Our team members hear difficult stories, make tough decisions and assist families when they are at their most vulnerable. Their jobs are tough under normal circumstances — navigating a global pandemic has challenged everything we do, but the work has not stopped, because the work cannot stop. Iowans need us now more than ever.

COVID-19 impacts the way social workers support families. It impacts the way facilities support and protect the individuals we serve. It impacts the mental health of countless Iowans. It impacts the needs of Medicaid members and Iowans receiving other assistance.

As an agency impacted from top to bottom, I’m proud to share our collective response effort. The Medicaid and Adult, Children and Family Services (ACFS) teams kicked into high gear and set forth waivers that will truly help those most in need; ensuring access to medical care, food and economic assistance. Our income maintenance workers stand ready to assist those families who have questions or find themselves now in need of supports.

DHS went from an agency with no telecommute policy, to deploying more than 2,000 people to work from home. Our IT team stepped in to help disassemble and lift computers for those team members who couldn’t. Our fiscal team shifted paper approval processes to electronic streamlined processes to assist our new telecommute capabilities and continues to source supplies to meet our entire system’s personal protective equipment (PPE) need. We’ve even been able to help some of our partners out in the community obtain PPE. And many, many team members have stepped into new roles when asked because there was a need.

If this isn’t teamwork, I don’t know what is.

Many of our staff continue their work on the front line every day, despite these uncertain and unprecedented times. I know for many of them it is challenging, and our work and our lives are changing in ways we would never have imagined just weeks ago. We know there is more to come, and our response effort must pivot on a dime. So, to my team, thank you for stepping up and leaning in. And to my fellow Iowans, I ask you join me in thanking them, and all of our public servants and essential workforce during Public Service Recognition Week.

Public Service Recognition Week (PSRW) is May 3-9, celebrated the first week of May since 1985 (beginning on the first Sunday of the month) to honor the men and women who serve our nation as federal, state, county and local government employees.

We’re asking individuals whose lives have been positively impacted by one of our team members, to reach out to them directly with an email or video message to thank them. Whether it’s a case worker, social worker, income maintenance worker or direct care staff, now more than ever they deserve to hear how they’re improving the lives of Iowans.

We’re hoping we can count on you to get the word out and support our public servants. Notes directly to DHS team members are a really impactful way to personally show gratitude. This week we’ll also be encouraging people to thank those in public service using the hashtags #PSRW and #TeamDHS. Stay tuned to our social media to see how you can help celebrate our public servants.

The bravery, grace, and sacrifice our team shows every day is what true public service looks like. From one very proud DHS team member to her more than 4,100 colleagues — thank you. Public service is indeed a noble calling.

Let’s talk about mental illness in our community

One in five people will have some kind of mental illness in their lifetime. Yet despite how common these conditions are — as common as silver cars, and more common than being left-handed — stigma remains the greatest barrier to individuals seeking help regarding their mental illness.

May is Mental Health Awareness Month. This serves as a great opportunity for our community to begin eliminating stigma by starting conversations and increasing understanding about mental illness.

Now, more than ever before, it is important to talk about mental illness. Many of us could be feeling increased anxiety, stress and feelings of isolation due to the COVID-19 outbreak and social distancing requirements. For those Iowans who already live with a mental illness, this pandemic could be causing symptoms to compound.

A recent study released by a team at Iowa State University states that increased unemployment and social isolation measures related to COVID-19 could result in an increase in suicide rates of close to 50,000 individuals.

Despite the challenges created by the COVID-19 pandemic, there still is help available: Telehealth services during this crisis is critical. Our state leaders, Iowa Insurance Commissioner Doug Ommen and Gov. Kim Reynolds responded immediately by encouraging health providers, insurers and businesses to work together to remove barriers and ensure telehealth is accessible.

Your Life Iowa, a state-operated service, offers referrals for problems related to alcohol, drugs, gambling, mental health or suicidal thoughts and can be contacted by phone, text or online chat 24/7.

Between March 1 and April 19, Your Life Iowa received nearly 500 contacts related to COVID-19 and traffic on the website — YourLifeIowa.org — is up 27 percent. Crisis lines and mental health counselors around the state and country are also reporting an uptick in patients reaching out for resources or virtual counseling. This is important progress.

However, the greatest barrier for those in need of mental health services is stigma.

If you know someone who is struggling, be a voice of support. The silence around mental illness is preventing our fellow Iowans — our friends, neighbors, co-workers and family members — from feeling better. By breaking down the stigma around mental illness, we can help them access the resources and treatment they deserve.

If someone opened up to you about their mental illness, would you know what to say? Do you have a general understanding of the most common mental illnesses? Do you know how to support loved ones dealing with mental illness? There are free resources available at MakeItOK.org/Iowa to learn more.

How to Change Your iPhone's DNS Servers

Just like in Mac OS X, you can change the DNS servers on your iPhone. This can significantly speed up Safari and other iPhone apps that use the Internet. For a general introduction to DNS, and to learn why you would want to change the DNS servers on your iPhone, see How to Change Your Mac's DNS Servers.

Before we start, you should know a couple things about how iOS handles DNS. First, these instructions only work for Wi-Fi connections - iOS does not allow you to change the DNS servers when connected to cellular networks. Also, the changes are network specific, so you'll need to change the DNS servers every time you connect to a new wireless network. The good news is that iOS remembers the settings, so you won't have to do anything the second time you connect to a network.

Here's how to change your iPhone's DNS servers:

  1. From the iPhone's home screen, tap Settings.

  2. Tap Wi-Fi. The screen shown below appears. The available wireless networks in range of your iPhone appear, as shown below.

  3. Find your wireless network in the list, and then click the arrow. The screen shown below appears.

  4. Tap the DNS field.

  5. Delete the current DNS servers, and enter the new DNS servers. (If you enter more than one DNS server, be sure sure to separate the servers with commas.)
    • To use OpenDNS, enter 208.67.222.222 and 208.67.220.220
    • To use Google DNS, enter 8.8.8.8 and 8.8.4.4
  6. Test your new DNS servers to make sure they're working.

That's it! You've updated your iPhone's DNS servers!

Tell Your iPhone to Forget a Wireless Network

When you connect an iPhone to a wi-fi network, the iPhone remembers that network and will automatically attempt to connect to it in the future. This is a great feature for wi-fi networks you trust and use frequently. But mistakes happen. If you connect to the wrong network at a coffee shop, your iPhone will automatically attempt to join that network every time you visit the coffee shop in the future. And if the password for a known network changes, your iPhone might have trouble connecting to it.

What's the solution? Telling your iPhone to forget the wi-fi network. Forgetting a network will remove the network's password and prevent your iPhone from joining it automatically in the future.

Here's how to tell your iPhone to forget a wireless network:

  1. From the home screen, tap Settings.

  2. Tap Wi-Fi. The window shown below appears.

  3. Locate the wireless network you want the iPhone to forget, and then tap the blue arrow next to the network name. The window shown below appears.

  4. Tap Forget this Network. The iPhone will forget the wireless network.

You have successfully told your iPhone to forget the wi-fi network. The iPhone will not attempt to connect to the network in the future. And if the network required a password, that password has been forgotten.

Make Your iPhone Ask to Join Wi-Fi Networks

By default, your iPhone automatically connects to known wi-fi networks. (To stop an iPhone from automatically connecting, you can tell your iPhone to forget a wi-fi network.) But what happens if you take your iPhone to a new location? You'll need to manually connect your iPhone to a wi-fi network.

That's a hassle. But if you have the foresight and inclination, you can save yourself time in the future by making your iPhone ask to join wi-fi networks when no known networks are available. Instead of having to open settings to join a network, you'll be able to easily select a network from an on-screen prompt.

Here's how to make your iPhone ask to join wi-fi networks:

  1. From the home screen, tap Settings.

  2. Tap Wi-Fi. The window shown below appears.

  3. Move the Ask to Join Networks slider to the On position.

  4. The next time you're in a location with no known networks, your iPhone will prompt you to connect to an available wi-fi network, as shown below.

In the future, this prompt will be displayed when no known networks are available. (To actually see the prompt, you'll need to do something that requires network access, like try to check your email or open a webpage.) To connect to a wi-fi network, select a network and enter a password, if one is required.

Cargill rail yard stalls as court case rolls on

Background

CEDAR RAPIDS — After a bitter battle between residents and one of the city’s major employers — Cargill — with the city of Cedar Rapids in the middle, in December, the Cedar Rapids City Council approved a $6.5 million, 12-track, 200-car rail yard located between the Rompot neighborhood and Prairie Park Fishery.

Cargill wanted to buy and put the rail yard on a 28-acre city-owned site on Stewart Road SE. Construction required rezoning the land to industrial use and a change to the city’s future land use map — putting city officials in the spotlight.

The rail yard was needed for more supply chain stability and to protect jobs at the corn-milling plant, at 1710 16th St. SE and not far from the rail yard site, company officials said. Cargill officials planned to submit final paperwork within a month of the vote, begin construction in early spring and have the rail yard operating by the end of the year.

What has happened since?

A lot and nothing.

Before construction was to begin, the city required Cargill to provide a third-party appraisal of the land. The city had provided an initial value of $83,200, which Cargill agreed to match. However, the value of the land has been in question as nearby properties ranged from $20,000 to $30,000 an acre, which was far greater than the $3,000 per acre value the city used.

City officials say the appraisal has not been submitted, nor has Cargill sought the required permits before construction can begin.

This delay began well before disruptions from the coronavirus pandemic and after lawsuits were filed to block the rail yard.

Rompot resident and state Sen. Rob Hogg, who is a lawyer, filed two lawsuits against the City Council — one each challenging the rezoning vote and the vote to change the future land use map. Numerous neighbors and others in opposition to the rail yard have joined the lawsuit, which Hogg supported.

Meanwhile, Cargill intervened on behalf of the city. At this point, sides still are arguing whether to expand the record to include additional evidence. Dates for a hearing have not been set.

So, the status of the contentious rail yard and a timeline for construction remains in limbo.

“We don’t have anything new to share at this point regarding work and timelines specific to the development of the rail yard,” Kelly Sheehan, a spokeswoman for Cargill, said in late April.

The Iowa Supreme Court approved a pilot program in the 4th Judicial District — Audubon, Cass, Fremont, Harrison, Mills, Montgomery, Pottawattamie, Page and Shelby counties — to develop procedures for the use of electronic search warrants.

Electronic search warrants will reduce the time required to obtain warrants, reduce travel time by law enforcement and make more effective use of judges’ time, according to the order. Paper warrants require law enforcement to fill out application forms and then leave the scene of the potential search and drive to find a judge, either at a courthouse during business hours or their home after hours. If the judge grants the warrant, then the officer has to drive back to the scene to execute it.

The electronic warrants can be submitted to a judge from a squad car computer, which is more efficient for law enforcement and the judges.

The pilot program will be evaluated by the court annually and will continue until further notice.

Fourth Judicial District Chief Judge Jeff Larson, who was on the advisory committee to develop recommendations for the new process, talked about the project, which will start in the next few weeks.

Page County Chief Deputy Charles McCalla, 6th Judicial Associate District Judge Nicholas Scott, Linn County Sheriff Capt. Greg McGivern and Marion police Lt. Scott Elam also provided their thoughts about electronic search warrants.

Q: Iowa courts started going paperless in 2010, so why did it take so long to get a pilot program for electronic search warrants?

A: Larson: It had been discussed at various levels since (the electronic document management system) started. We should take advantage of the electronic process because it will save us money. Most law enforcement agencies are now used to filing electronic citations from their patrol cars and offices. There may have been some pushback a few years ago because some counties or offices didn’t have computer scanners and needed technology. Now, the rural offices have that technology.

Q: As a task force member working on this program, what were the hurdles?

A: Larson: It was just working through the procedural issues to make sure there would be a safeguard throughout the process. When a search warrant is needed, law enforcement has to fill out the search warrant package, including the application with all the pertinent information, and submit it to a magistrate judge, associate or district judge in their judicial district. Then the officer or deputy can just call the judge to alert him/her to the warrant and the judge can ask for any additional information needed. The judge then administers the oath of office over the phone and signs off or denies the warrant. Law enforcement doesn’t have to leave the crime scene and can print off the warrant from their squad car computer.

The process of going to electronic warrants started in 2017, when the lawmakers amended the law to allow those to be submitted electronically, and then in 2018, the state court administrator’s office set up an advisory committee to develop recommendations.

Q: What has been the process to get a search warrant?

A: Larson: Law enforcement would have to leave the scene, fill out paperwork and then, many times, travel miles to go to the courthouse to have the judge sign it or if it’s after hours, go to a judge’s home. The officer may not be in the same county as the courthouse where the judge works or where the judge lives. (It) can take a lot of time. The process is way overdue.

Q: Page County Sheriff’s Chief Deputy Charles McCalla, what do you see as the biggest advantage for filing them electronically?

A: McCalla: The smaller counties have limited manpower, and some of the judges, like in Mills County, may be 60 to 70 miles away if a search warrant is needed after hours. Just traveling across the county can take time, depending where you are. At a minimum, we probably have to drive 30 minutes and up to an hour to get to a judge. This will save us time, money for travel and provide safety because we can stay at the scene to ensure the evidence hasn’t been tampered with.

Q: Is there a recent incident where an electronic search warrant may have helped?

A: McCalla: A few weeks ago, there was a theft report for a stolen chain saw and deputies went to the home and saw guns all over the house and they knew the guy who lived there had been convicted. They didn’t want to tip him off, so they just left the scene and went to get a search warrant. Luckily, the evidence was still there when they came back. They found about 90 guns.

Q: How do you feel about being the “guinea pigs” for the process?

A: McCalla: Happy to be. As law enforcement, we’re natural fixers. We find solutions. And this is an idea time to use the process during the COVID-19 pandemic to keep everyone safe. We won’t have to have any face-to-face contact with the judges.

Q: Is Linn County excited about the program, once it’s tested and used across the state?

A: Scott: I think many of us in the criminal justice system are eagerly awaiting the results of the pilot. They have the potential to make the system more efficient. It is in the interest of the police and the suspect, who is often detained pending a warrant, to get the search warrant application reviewed by a judge as soon as possible. A potential benefit is that officers could also use those more often, which protects citizens from unlawful search and seizures if a judge first reviews the evidence.

A: McGivern: I believe the implementation will be a much faster and efficient process for deputies. Like any new process, there may need to be some revisions that will have to be worked out, but I look forward to it.

A: Elam: We’ve done it this way for a long time, and it can be a bit of a haul for us, depending who’s on call (among the judges) — after hours. It’s nice to see there’s a pilot. The concern would be if something goes wrong in the process. If the internet is down or something else. Now, we have to go from Marion to the Linn County Courthouse. Then we go to the county attorney’s office to get a prosecutor to review the warrant and then find a judge (in courthouse during business hours). That takes some time. If you can type out the application from your car right at the scene, it would help with details on the warrant — describing the structure or property needing be searched. I just hope they work out all the bugs first.

Ready to reopen? Four Cedar Rapids business leaders offer advice

On Wednesday, Gov. Kim Reynolds removed some restrictions on businesses in the 22 counties that have been seeing higher numbers of Iowans affected by COVID-19, including Linn and Johnson counties.

Now those organizations have to make decisions — on bringing back employees, services to provide and how much access to allow for customers.

And as those businesses reopen — some after more than two months — crucial steps likely will include ongoing communication with employees and customers and a well-thought-out restart plan.

The Gazette spoke with business leaders about the challenges faced by business owners as they consider how and when to open their doors.

• David Drewelow of ActionCoach Heartland in Cedar Rapids is a consultant with 19 years of business coaching experience.

• David Hensley, director of the University of Iowa’s John Pappajohn Entrepreneurial Center, has expertise in small business management during a crisis.

• Josh Seamans is vice president of Cushman and Wakefield, a global commercial real estate adviser that operates offices in more than 60 countries including China.

• Steve Shriver is a Cedar Rapids entrepreneur who operates and/or helped found four diverse enterprises, including Eco Lips and Brewhemia.

Their responses here have been condensed from lengthy individual interviews.

How important is communication and having a well-prepared plan for resumption of business?

Shriver: The one thing that has been imperative throughout this whole process is communication with employees, customers and the public. I also would recommend writing as detailed a business resumption plan as possible.

One of the main reasons is to fully understand what you are doing as this is a brand-new challenge that none of us has faced.

Drewelow: You really need to be communicating now, more than ever, with your employees, customers, vendors and suppliers. What does your plan for the next 20 to 30 days look like? What are things that you can be doing right now to get ready?

Hensley: I think it is critically important to have a reopening plan because most businesses are not going to be at full strength right away. What might their revenue forecasts look like? How can they keep their costs down as their business starts to rebound before it gets back to full capacity?

Seamans: Your plan should include a checklist of reopening steps appropriate to your type of business. Retail will have different items than distribution or industrial businesses.

You need to communicate your plan to employees, customers, landlords and lenders.

How much will fear play a role in the resumption of business?

Shriver: Everyone has a different idea of the risks involved, such as using a handle to open a door or interacting with a person — the little things that we are used to doing.

When you look at the risk versus reward of doing that, some people will be willing to go into a store and others will stay home. Some employees don’t want to come back to work yet and some people are itching to get back. You have everything in between.

Drewelow: The fear factor is huge. For the small business owner, we try to channel that fear into a focus on being highly aware of all the possibilities to mitigate concerns.

If you own a restaurant, can you post the menu online or use disposable menus? That way, a customer doesn’t have to touch something that might have been handled by someone else.

Appropriate spacing of customers within a restaurant also will help alleviate some of the fear.

Hensley: You need to communicate what steps you are taking to protect the health and safety of your employees and your customers. If you will be requiring the use of personal protective equipment like face masks, are you going to make them available?

Will limiting the number of people entering a business be difficult?

Shriver: There are not a lot of people who want to gather in masses right now. It seems like as businesses start to reopen, it will be more like a trickle.

It will be just like turning on a water spigot, with the flow of customers gradually increasing.

Hensley: I think we will see a lot more customers buying, rather than just shopping. They are going to buy the items they came for and then leave.

If businesses have more vulnerable customers, I would recommend establishing separate early morning times like many of the grocery stores have done to provide a safer environment.

Many companies have adopted using digital conferencing platforms for meetings. Will we see that trend continue?

Seamans: I think Zoom will be used for more internal meetings, so there is no need for someone to fly from, say, San Francisco to New York. But in terms of sales, it does not replicate that face-to-face interaction.

We have done work with clients that live several hours away and we have to come in for a city council meeting for a project that we are working on. That’s a three-hour drive in for a one- or two-hour council meeting and another three-hour drive back — basically an eight-hour day. If we can Zoom in and answer any questions, that’s a lot more efficient at less cost.

What should a small-business owner consider when determining how many employees to recall?

Shriver: We will be able to bring some people back to work and generate some revenue, but not in a huge way. Anybody who can work from home should continue working from home for as long as they possibly can.

We should not be rushing to get those people back. There is no incentive.

Hensley: Owners are going to be making hard decisions. Do I bring back half of my team at full time or do I bring everyone back at reduced hours? What are those implications going to be?

In some cases, other industries have been hiring and some may be making more money. Businesses may have to pay more to attract that talent back.

Restaurants have been forced to change their business model from on-premise dining to carryout and delivery. Should all owners take this opportunity to examine and update their business model?

Shriver: We took two businesses — SOKO Outfitters, a retail store, and Brewhemia, a restaurant — and put them rapidly online within a month. When we come out of this, I think we will be stronger because we will have that infrastructure in place in addition to the old school face to face traffic that we used to have.

Hensley: I think this is definitely the time to look at your business model to determine what is appropriate given the economic situation that we have. That is not just going to be critical for reopening, but over the next six months to a year as long as we are dealing with the virus.

Some business owners will see that their customers have lost their jobs or seen their income drop dramatically. They are going to be changing their patterns of consumption based on necessities.

Drewelow: Some of my clients believe that are looking their competitors and realize that some may not reopen. They are looking at whether they can merge with them or somehow salvage parts of that business.

Some business owners have realized that the way they deliver products or services will have to change. Many of my older clients have been dragged into using modern technology.

Leaving the city that I’ve called home my entire life and the people who have defined everything I am was one of the most uncomfortable decisions I’ve ever had to make. Our WFH Best Practices

Our first remote office opened in 2007 when a designer and a developer left our HQ office and moved to Durham. Ever since we've been fine-tuning our ability to collaborate across locations. Today, we have team members across the country in our four offices, and we have fully remote employees in Charleston, Kansas City, New York City, Dallas, and Charlottesville.

Because of the coronavirus outbreak, a lot of people recently started working from their homes across the world, the country, and Viget. We wanted to share some of our best practices for being great teammates and doing great work, regardless of locale, and we’d love to hear yours in the comments.

Communicate Often and Write It Down

We want every person at Viget to be informed and connected. We do this in a few ways. We have a company Knowledge Base, which contains critical information including HR policies, office processes, brand guidelines, project resources, etc. We also have a well-organized Google Drive that everyone can access.

My favorite communication tool we use, however, is our Internal Lab Report. Every week, we create a Google Doc with HR updates, birthdays, upcoming events we’re attending, relevant publicity we or a client received, and timely updates on projects, sales, and recruiting. This report allows the entire team to have the same information, regardless of PTO schedules, and it provides a record that can be referenced weeks, months, or years later.

I have also found our Slack habits really helpful. We try to make our availability easily known, mostly via a passive Slack status. We each update our status daily, sometimes multiple times, so people can see if we’re working from home, out of the office for an appointment, in a meeting, or offline for a personal phone call. We also have a few Slack Channels we use very specifically to announce PTO, important announcements, and recently, one that is specific to the updating coronavirus situation.

Figure Out Your Boundaries

This looks different for everyone and can be an ever-changing target. Understanding your boundaries requires you to be honest with yourself – Are you easily distracted? Can you successfully work in pajama pants? Will your dog actually allow you to get work done? Does working from the couch result in good work, or do you need a designated work spot? For some, working from home requires setting boundaries to ensure the work gets done. For others, working from home requires setting a start and stop times to ensure you don’t overwork yourself.

Viget has a flexible work policy, so many of us work from home fairly often and have gotten our routines set up. As such, we have written about this before! Check out Trevor’s article about working remotely.

Show Your Face

When I first started at Viget, I’d never worked anywhere that used a Google Hangout for nearly every meeting. At first, I was tempted to call into meetings and leave the camera off because I found it exposing. Now, I can’t imagine not using it, and I’ve even embraced it in my personal life with friends and family. I realized the value in face-to-face conversations even in virtual form, the ability to see body language, and the connection you establish when you see each other's faces — even if your hair isn't perfect or you haven't arranged your plants just-so in the view behind you. Whenever possible, use your camera during a meeting. It increases trust, communication, and in my personal-not-backed-by-science-opinion, lightness, which frankly, I think we can all use a bit more of right now.

Create Shared Experiences

As a company with project teams often distributed across our four locations, cross-office experiences are vital to our culture, and we’ve spent years working to keep our remote offices in sync. A few of our ongoing group activities include a monthly virtual Book Club, our weekly full-team Free Lunch Friday tradition, Donut for Slack, and, of course, our Pointless Weekends.

The current global health crisis now requires almost all of the company to work remote, so we’ve gotten creative with our attempts to increase non-project time together, in order to keep up the vibes we’ve worked hard to create.

What we’ve recently started:

    • Last Weekend this Morning - Monday mornings, we have an optional virtual coffee, where anyone who’d like to chat can join and share the latest gardening lesson or bingeable tv show. It lets us start our week off as we would when we’re all in the office — saying hello to each other.
    • Virtual Happy Hours - We are a company that likes to socialize, and a bit of distance doesn’t stop us. This week, we set up an after-hours Happy Hour for St. Patrick’s Day.
    • Daily Lunch Table- If you’ve ever visited our HQ office in Falls Church, you’ll notice our large kitchen table. We have an informal tradition of gathering around noon to eat together, whether it’s just a couple folks or the whole team. We now do this lunch virtually. So far, we’re mostly taking turns discussing who is eating what, and of course, sharing said recipes.

I crowdsourced some ideas from the Viget team, and here are some noteworthy takeaways:

It’s easy to allow your attention to accidentally drift if you see a new Slack channel light up, especially if you’re in a larger meeting. Suddenly, you find yourself multitasking. Treat the meeting as if you were there in person: unless you’re taking notes, minimize your other tabs, and give the conversation your full attention."

Our New Normal, Together

As the world works to mitigate the impact of the COVID-19 pandemic, our thoughts are foremost with those already ill from the virus and those on the frontlines, slowing its spread. The bravery and commitment of healthcare workers everywhere is an inspiration.

While Viget’s physical offices are effectively closed, we’re continuing to work with our clients on projects that evolve by the day. Viget has been working with distributed teams to varying degrees for most of our 20-year history, and while we’re comfortable with the tools and best practices that make doing so effective, we realize that some of our clients are learning as they go. We’re here to help.

These are unprecedented times, but our business playbook is clear: Take care of each other. We’re in this together.

Our People Team is meeting with everyone on our staff to confirm their work-from-home situation. Do they have family or roommates they can rely on in an emergency? How are they feeling physically and mentally? Do they have what they need to be productive? As a team, we’re working extra hard to communicate. Andy hosts and records video calls to answer questions anyone has about the crisis, and our weekly staff meeting schedule will continue. Recognizing that our daily informal group lunches are a vital social glue in our offices, Aubrey has organized a virtual lunch table Hangout, allowing our now fully-distributed team to catch up over video. It ensures we have some laughs and helps keep us feeling connected.

Our project teams are well-versed in remote collaboration, but we understand that not all client projects can proceed as planned. We’re doing our best to accommodate evolving schedules while keeping the momentum on as many projects as possible. For all of our clients, we’re making clear that we think long-term. We’re partners through this, and can adapt to help our clients not just weather the storm, but come through it stronger when possible. Some clients have been forced to pause work entirely, while others are busier than ever.

Viget has persevered through many downturns -- the dot com crash, 9/11, the 2008 financial crisis, and a few self-inflicted close-calls. In retrospect, it’s easy to reflect on how these situations made us stronger, but mid-crisis it can be hard to stay positive. The consistent lesson has been that taking care of each other -- co-workers, clients, partners, community peers -- is what gets us through. It motivates our hard work, it focuses our priorities and collaboration, and inspires us to do what needs to be done.

I don’t know for certain how this crisis will play out, but I know that all of us at Viget will be doing everything we can to support each other as we go through it together.

Together We Flourish, Remotely

Like many other companies, Viget is working through the new challenge of suddenly being a fully-distributed company. We don’t know how long it will last or every challenge that will arise because of these unfortunate circumstances, but we know the health and well-being of our people is paramount. As Employee Engagement Manager, I feel inspired by these new challenges, eager to step up, and committed to seeing what good can come of this.

Now more than ever, we want to maintain the culture that has sustained us over the last 20 years – a culture that I think is best captured by our mantra, “do great work and be a great teammate.” As everyone is adjusting to new work environments, schedules, and distractions, I am adjusting my approach to employee engagement, and the People Team is looking for new ways to nurture and protect the culture we treasure.

The backbone of being a great teammate is knowing each other and caring about each other. For years the People Team has focused on making sure people who work at Viget are known, accepted, and cared about. From onboarding to events to weekly and monthly touchpoints, we invest in coworkers knowing each other. On top of that, we have well-appointed offices where people like to be, and friendships unfold over time. Abruptly becoming fully distributed makes it impossible for some of these connections to happen organically, like they would have around the coffee machine and the lunch tables. These microinteractions between colleagues in the same office, the hellos when you get off the elevator or the “what’d you get up to this weekend” chit chat near the seltzer refrigerator, all add up. We realize more than ever how valuable those moments are, and I know I will feel extra grateful for them when we are all back together.

Until that time, we are working to make sure everyone at Viget feels connected, safe, healthy, and most importantly, together, even when we are physically apart. We are keeping up our weekly staff meetings and monthly team lunches, and we just onboarded a new hire last week as thoroughly as ever. There are some other, new ways we’re sparking connections, too.

Connecting IntentionallyWe are making the most of the tools that we’ve been using for years. New Slack channels have spun up, including #exercise, where folks are sharing how they are making do without a gym, and #igotyou, a place where folks can post where they’ve found supplies in stock as grocery stores are being emptied at an alarming pace.
Remote Lunch TablesWe have teammates in three different time zones, on different project teams, and at different stages of life. We’ve created two virtual lunch tables, one at 12PM EST and one at 12PM MST, where folks can join with or without their lunches and with or without their kids, partners, or pets. There are no rules or structure, just an opportunity to chat and see a friendly face as a touchpoint to your day.
Last Weekend This MorningCatching up Monday morning is a great way to kick off your week. Historically, I’ve done this from my desk over coffee as I greet folks coming off the elevator (I usually have the privilege of sitting at our front desk). I now do this from my desk, at home, over coffee as folks pop in or out of our Zoom call. One upshot of the new normal is I can “greet” anyone who shows up, not just people who work from my same office. Again, no structure, just a way to start our week, together.
Munch MadnessYes, you read that right. Most of the sports world is enjoying an intermission. Since our CEO can’t cheer on his beloved Cavaliers and our VP of Design can’t cheer on his Gators, we’ve created something potentially much better. A definitive snack bracket. There is a minimal time commitment and folks with no sports knowledge can participate. The rules are simple: create and submit your bracket, ranking who you believe will win each snack faceoff. Then as we move through the rounds, vote on your favorite snacks. The competition has already sparked tons of conversation and plenty of snack hot takes. Want to start a munch-off of your own? Check out our bracket as a starting point.
Virtual Happy HoursSigning off for the day and shutting down your machine is incredibly important for maintaining a work-life balance. Casually checking in, unwinding, and being able to chat about your day is also important. We have big, beautiful kitchens in each of our offices, along with casual spaces where at the end of any given day you can find a few Vigets catching up before heading home. This is something we don’t want to miss! So we’re setting up weekly happy hours where folks can hop in and say hi to each other face-to-face. We’ve found Zoom to be a great platform so we can see the maximum number of our teammates possible. Like all of our other events, it’s optional. There is also an understanding that your roommate, kid, significant other, or pet might show up on screen (and are welcome!). No one is shamed for multitasking and we encourage our teammates to join as they can. So far we’ve toasted new teammates, played a song or two, and up next we’ll play trivia.

At the end of the day, we are all here for one reason: to do great work. Our award-winning work is made possible by the trust we’ve built within our teams. Staying focused and accountable to ourselves and our clients is what drives our motivation to continue to show up and do our best. In our new working environment, it is crucial that we can both stay connected and productive; a lot of teammates are stepping up to support one another. We’ve delivered chairs, monitors, and helped troubleshoot in-home wifi issues. We are committed to making sure every Viget is set up for success.
Sharing is CaringWe’re no stranger to remote teams. We have four offices across the U.S. and a handful of full-time remote folks, and we’ve leaned on our inside experts to share their expertise on remote work. Most recently, ourData & Analytics Director, who has been working remotely full time for five years, gave a presentation on best practices for working from home. His top tips for working from home include:
  • Minimize other windows in remote meetings.
  • Set a schedule and avoid midday chores.
  • Take breaks away from the screen.
  • Plan your workday on your shared calendar.
  • Be mindful of Slack and social media as a distraction.
  • Use timers.
  • Keep your work area separate from where you relax.
  • Pretend that you’re still working from work.
  • Experiment and figure out what works for you.

Our UX Research Director also stepped up to share her expertise to aid in adjusting to our new working conditions. She led a microclass on remote facilitation where she shared best practices and went over tools that support remote collaboration. Some of the tools she highlighted included Miro, Mural, Whimsical, and Jamboard. During the microclass she demonstrated use of Whimsical’s voting feature, which makes it easy for distributed groups to establish discussion topic priorities.

Always PreparedHaving all of our project materials stored in the Cloud in a consistent, predictable way is a cornerstone of our business continuity plan. It is more important than ever for our team to follow the established best practices and ensure that project files are accessible to the full Viget team in the event of unplanned time off. Our VP of Client Services is leading efforts to ensure everyone is aware of and following our established guidelines with tools like Drive, Slack, Github, and Figma. As the pandemic unfolds, our approach to employee engagement will evolve. Should you use Userbase for your next static site?

During the winter 2020 Pointless Weekend, we built TrailBuddy (working app coming soon). Our team consisted of four developers, two project managers, two front-end developers, a digital-analyst, a UXer, and a designer. In about 48 hours, we took an idea from Jeremy Field’s head to a (mostly) working app. We broke up the project in two parts:. First, a back-end that crunches trail, weather, and soil data. That data is exposed via a GraphQL API for a web app to consume.

While developers built the API, I built a static front end using Next.js. Famously, static front-ends don’t have a database, or a concept of “users.” A bit of functionality I wanted to add was saving favorite trails. I didn’t want to be hacky about it, I needed some way to add users and a database. I knew it’d be hard for the developers to set this up as part of the API, they had their hands full with all the #soil-soil-soil-soil-soil (a slack channel dedicated solely to figuring out our soil data problem—those were plentiful.) I had been looking for an excuse to use Userbase, and this seemed like as good a time as any.

“When would I use it?” The Usebase site lists these reasons:

  • If you want to build a web app without writing any backend code.
  • If you never want to see your users' data.
  • If you're tired of dealing with databases.
  • If you want to radically simplify your GDPR compliance.
  • And if you want to keep things really simple.

This was a perfect fit for my problem. I didn’t want to write any more backend code for this. I didn’t want to see our user’s data, I don’t care to know anyone’s favorite trails.* A nice bonus to not having users in our backend was not having to worry about keeping their data safe. We don’t have their data at all, it’s end-to-end encrypted by Userbase. We can offer a reasonable amount of privacy for free (well for the price of using Userbase: $49 a year.) I am not tired of dealing with databases, but I’d rather not. I don’t think anyone doesn’t want to simplify their GDPR compliance. Finally, given our tight timeline I wanted nothing more than to keep things really simple.

Using Userbase

Userbase can be tried for free, so I set aside thirty minutes or so to do a quick proof of concept to make sure this would work out for us. I made an account and followed their Quickstart. Userbase is a fundamentally easy tool to use, but their quickstart is everything I’d want out of a quickstart:

  • Written in the most vanilla way possible (just HTML and vanilla JS). This means I can adapt it to my needs, in this case React using Next.js
  • Easy to follow, it does the most barebones tour of the functionality you can expect to get out of the SDK (software development kit.) In other words it is quick and it is a start
  • It has a live demo and code samples you can download and run yourself

It didn’t take long after that to integrate Userbase into our app with more help from their great docs. I debated whether to add code samples of what we did here, and I didn’t because any reader would be better off using the great quickstart and docs Userbase provides—they are that clear, and that good. Depending on your use case you’ll need to adapt the examples to your needs, for us the trickiest things were creating a top level authentication context to manage users in the app, and a custom hook to encapsulate all the logic for setting, updating, and deleting favourite trails in the app. Userbase’s SDK worked seamlessly for us.

Is Userbase for you?

Maybe. I am definitely a fan, so much so that this blog post probably reads like an advert. Userbase saved me a ton of time in this project. It reminded me of “The All Powerful Front End Developer” talk by Chris Coyer. I don’t fully subscribe to all the ideas in that talk, but it is nice to have “serverless” tools like Userbase, and all the new JAMstacky things. There are limits to the Userbase serverless experience in terms of scale, and control. Obviously relying on a third party for something always carries some (probably small) risk—it’s worth noting Usebase includes a note on their pricing page that says “You can host it yourself always under your control, or we can run it for you for a full serverless experience”—Still, I wouldn’t hesitate this to use in future projects.

One of the great things about Viget and Pointless Weekend is the opportunity to try new things. For me that was Next.js and Userbase for Trailbuddy. It doesn’t always work out (in fact this is my first pointless weekend where a risk hasn’t blown up in my face) but it is always fun. Getting to try out Userbase and beginning to think about how we may use it in the future made the weekend worthwhile for me, and it made my job on this project much more enjoyable.

Our WFH Best Practices

Our first remote office opened in 2007 when a designer and a developer left our HQ office and moved to Durham. Ever since we've been fine-tuning our ability to collaborate across locations. Today, we have team members across the country in our four offices, and we have fully remote employees in Charleston, Kansas City, New York City, Dallas, and Charlottesville.

Because of the coronavirus outbreak, a lot of people recently started working from their homes across the world, the country, and Viget. We wanted to share some of our best practices for being great teammates and doing great work, regardless of locale, and we’d love to hear yours in the comments.

Communicate Often and Write It Down

We want every person at Viget to be informed and connected. We do this in a few ways. We have a company Knowledge Base, which contains critical information including HR policies, office processes, brand guidelines, project resources, etc. We also have a well-organized Google Drive that everyone can access.

My favorite communication tool we use, however, is our Internal Lab Report. Every week, we create a Google Doc with HR updates, birthdays, upcoming events we’re attending, relevant publicity we or a client received, and timely updates on projects, sales, and recruiting. This report allows the entire team to have the same information, regardless of PTO schedules, and it provides a record that can be referenced weeks, months, or years later.

I have also found our Slack habits really helpful. We try to make our availability easily known, mostly via a passive Slack status. We each update our status daily, sometimes multiple times, so people can see if we’re working from home, out of the office for an appointment, in a meeting, or offline for a personal phone call. We also have a few Slack Channels we use very specifically to announce PTO, important announcements, and recently, one that is specific to the updating coronavirus situation.

Figure Out Your Boundaries

This looks different for everyone and can be an ever-changing target. Understanding your boundaries requires you to be honest with yourself – Are you easily distracted? Can you successfully work in pajama pants? Will your dog actually allow you to get work done? Does working from the couch result in good work, or do you need a designated work spot? For some, working from home requires setting boundaries to ensure the work gets done. For others, working from home requires setting a start and stop times to ensure you don’t overwork yourself.

Viget has a flexible work policy, so many of us work from home fairly often and have gotten our routines set up. As such, we have written about this before! Check out Trevor’s article about working remotely.

Show Your Face

When I first started at Viget, I’d never worked anywhere that used a Google Hangout for nearly every meeting. At first, I was tempted to call into meetings and leave the camera off because I found it exposing. Now, I can’t imagine not using it, and I’ve even embraced it in my personal life with friends and family. I realized the value in face-to-face conversations even in virtual form, the ability to see body language, and the connection you establish when you see each other's faces — even if your hair isn't perfect or you haven't arranged your plants just-so in the view behind you. Whenever possible, use your camera during a meeting. It increases trust, communication, and in my personal-not-backed-by-science-opinion, lightness, which frankly, I think we can all use a bit more of right now.

Create Shared Experiences

As a company with project teams often distributed across our four locations, cross-office experiences are vital to our culture, and we’ve spent years working to keep our remote offices in sync. A few of our ongoing group activities include a monthly virtual Book Club, our weekly full-team Free Lunch Friday tradition, Donut for Slack, and, of course, our Pointless Weekends.

The current global health crisis now requires almost all of the company to work remote, so we’ve gotten creative with our attempts to increase non-project time together, in order to keep up the vibes we’ve worked hard to create.

What we’ve recently started:

    • Last Weekend this Morning - Monday mornings, we have an optional virtual coffee, where anyone who’d like to chat can join and share the latest gardening lesson or bingeable tv show. It lets us start our week off as we would when we’re all in the office — saying hello to each other.
    • Virtual Happy Hours - We are a company that likes to socialize, and a bit of distance doesn’t stop us. This week, we set up an after-hours Happy Hour for St. Patrick’s Day.
    • Daily Lunch Table- If you’ve ever visited our HQ office in Falls Church, you’ll notice our large kitchen table. We have an informal tradition of gathering around noon to eat together, whether it’s just a couple folks or the whole team. We now do this lunch virtually. So far, we’re mostly taking turns discussing who is eating what, and of course, sharing said recipes.

I crowdsourced some ideas from the Viget team, and here are some noteworthy takeaways:

It’s easy to allow your attention to accidentally drift if you see a new Slack channel light up, especially if you’re in a larger meeting. Suddenly, you find yourself multitasking. Treat the meeting as if you were there in person: unless you’re taking notes, minimize your other tabs, and give the conversation your full attention."

Our New Normal, Together

As the world works to mitigate the impact of the COVID-19 pandemic, our thoughts are foremost with those already ill from the virus and those on the frontlines, slowing its spread. The bravery and commitment of healthcare workers everywhere is an inspiration.

While Viget’s physical offices are effectively closed, we’re continuing to work with our clients on projects that evolve by the day. Viget has been working with distributed teams to varying degrees for most of our 20-year history, and while we’re comfortable with the tools and best practices that make doing so effective, we realize that some of our clients are learning as they go. We’re here to help.

These are unprecedented times, but our business playbook is clear: Take care of each other. We’re in this together.

Our People Team is meeting with everyone on our staff to confirm their work-from-home situation. Do they have family or roommates they can rely on in an emergency? How are they feeling physically and mentally? Do they have what they need to be productive? As a team, we’re working extra hard to communicate. Andy hosts and records video calls to answer questions anyone has about the crisis, and our weekly staff meeting schedule will continue. Recognizing that our daily informal group lunches are a vital social glue in our offices, Aubrey has organized a virtual lunch table Hangout, allowing our now fully-distributed team to catch up over video. It ensures we have some laughs and helps keep us feeling connected.

Our project teams are well-versed in remote collaboration, but we understand that not all client projects can proceed as planned. We’re doing our best to accommodate evolving schedules while keeping the momentum on as many projects as possible. For all of our clients, we’re making clear that we think long-term. We’re partners through this, and can adapt to help our clients not just weather the storm, but come through it stronger when possible. Some clients have been forced to pause work entirely, while others are busier than ever.

Viget has persevered through many downturns -- the dot com crash, 9/11, the 2008 financial crisis, and a few self-inflicted close-calls. In retrospect, it’s easy to reflect on how these situations made us stronger, but mid-crisis it can be hard to stay positive. The consistent lesson has been that taking care of each other -- co-workers, clients, partners, community peers -- is what gets us through. It motivates our hard work, it focuses our priorities and collaboration, and inspires us to do what needs to be done.

I don’t know for certain how this crisis will play out, but I know that all of us at Viget will be doing everything we can to support each other as we go through it together.

Together We Flourish, Remotely

Like many other companies, Viget is working through the new challenge of suddenly being a fully-distributed company. We don’t know how long it will last or every challenge that will arise because of these unfortunate circumstances, but we know the health and well-being of our people is paramount. As Employee Engagement Manager, I feel inspired by these new challenges, eager to step up, and committed to seeing what good can come of this.

Now more than ever, we want to maintain the culture that has sustained us over the last 20 years – a culture that I think is best captured by our mantra, “do great work and be a great teammate.” As everyone is adjusting to new work environments, schedules, and distractions, I am adjusting my approach to employee engagement, and the People Team is looking for new ways to nurture and protect the culture we treasure.

The backbone of being a great teammate is knowing each other and caring about each other. For years the People Team has focused on making sure people who work at Viget are known, accepted, and cared about. From onboarding to events to weekly and monthly touchpoints, we invest in coworkers knowing each other. On top of that, we have well-appointed offices where people like to be, and friendships unfold over time. Abruptly becoming fully distributed makes it impossible for some of these connections to happen organically, like they would have around the coffee machine and the lunch tables. These microinteractions between colleagues in the same office, the hellos when you get off the elevator or the “what’d you get up to this weekend” chit chat near the seltzer refrigerator, all add up. We realize more than ever how valuable those moments are, and I know I will feel extra grateful for them when we are all back together.

Until that time, we are working to make sure everyone at Viget feels connected, safe, healthy, and most importantly, together, even when we are physically apart. We are keeping up our weekly staff meetings and monthly team lunches, and we just onboarded a new hire last week as thoroughly as ever. There are some other, new ways we’re sparking connections, too.

Connecting IntentionallyWe are making the most of the tools that we’ve been using for years. New Slack channels have spun up, including #exercise, where folks are sharing how they are making do without a gym, and #igotyou, a place where folks can post where they’ve found supplies in stock as grocery stores are being emptied at an alarming pace.
Remote Lunch TablesWe have teammates in three different time zones, on different project teams, and at different stages of life. We’ve created two virtual lunch tables, one at 12PM EST and one at 12PM MST, where folks can join with or without their lunches and with or without their kids, partners, or pets. There are no rules or structure, just an opportunity to chat and see a friendly face as a touchpoint to your day.
Last Weekend This MorningCatching up Monday morning is a great way to kick off your week. Historically, I’ve done this from my desk over coffee as I greet folks coming off the elevator (I usually have the privilege of sitting at our front desk). I now do this from my desk, at home, over coffee as folks pop in or out of our Zoom call. One upshot of the new normal is I can “greet” anyone who shows up, not just people who work from my same office. Again, no structure, just a way to start our week, together.
Munch MadnessYes, you read that right. Most of the sports world is enjoying an intermission. Since our CEO can’t cheer on his beloved Cavaliers and our VP of Design can’t cheer on his Gators, we’ve created something potentially much better. A definitive snack bracket. There is a minimal time commitment and folks with no sports knowledge can participate. The rules are simple: create and submit your bracket, ranking who you believe will win each snack faceoff. Then as we move through the rounds, vote on your favorite snacks. The competition has already sparked tons of conversation and plenty of snack hot takes. Want to start a munch-off of your own? Virtual Happy HoursSigning off for the day and shutting down your machine is incredibly important for maintaining a work-life balance. Casually checking in, unwinding, and being able to chat about your day is also important. We have big, beautiful kitchens in each of our offices, along with casual spaces where at the end of any given day you can find a few Vigets catching up before heading home. This is something we don’t want to miss! So we’re setting up weekly happy hours where folks can hop in and say hi to each other face-to-face. We’ve found Zoom to be a great platform so we can see the maximum number of our teammates possible. Like all of our other events, it’s optional. There is also an understanding that your roommate, kid, significant other, or pet might show up on screen (and are welcome!). No one is shamed for multitasking and we encourage our teammates to join as they can. So far we’ve toasted new teammates, played a song or two, and up next we’ll play trivia.

At the end of the day, we are all here for one reason: to do great work. Our award-winning work is made possible by the trust we’ve built within our teams. Staying focused and accountable to ourselves and our clients is what drives our motivation to continue to show up and do our best. In our new working environment, it is crucial that we can both stay connected and productive; a lot of teammates are stepping up to support one another. Here are a few ways we are continuing to foster our “do great work” mantra.

Staying in TouchThe People Team is actively touching base with every employee. Our focus is on their health, productivity, and connection. These 1:1s have given us a baseline for how we can provide the best support for our team, from making sure they're aware of flexible work options to setting them up with the tools they need to be successful. We’ve delivered chairs, monitors, and helped troubleshoot in-home wifi issues. We are committed to making sure every Viget is set up for success.
Sharing is CaringWe’re no stranger to remote teams. We have four offices across the U.S. and a handful of full-time remote folks, and we’ve leaned on our inside experts to share their expertise on remote work. Most recently, ourData & Analytics Director, who has been working remotely full time for five years, gave a presentation on best practices for working from home. His top tips for working from home include:
  • Minimize other windows in remote meetings.
  • Set a schedule and avoid midday chores.
  • Take breaks away from the screen.
  • Plan your workday on your shared calendar.
  • Be mindful of Slack and social media as a distraction.
  • Use timers.
  • Keep your work area separate from where you relax.
  • Pretend that you’re still working from work.
  • Experiment and figure out what works for you.

Our UX Research Director also stepped up to share her expertise to aid in adjusting to our new working conditions. She led a microclass on remote facilitation where she shared best practices and went over tools that support remote collaboration. Some of the tools she highlighted included Miro, Mural, Whimsical, and Jamboard. During the microclass she demonstrated use of Whimsical’s voting feature, which makes it easy for distributed groups to establish discussion topic priorities.

Always PreparedHaving all of our project materials stored in the Cloud in a consistent, predictable way is a cornerstone of our business continuity plan. It is more important than ever for our team to follow the established best practices and ensure that project files are accessible to the full Viget team in the event of unplanned time off. Our VP of Client Services is leading efforts to ensure everyone is aware of and following our established guidelines with tools like Drive, Slack, Github, and Figma.
