5 Ways to Make Your Next In-Person All-Hands Event Worthwhile

In recent years, as distributed work has become the norm, all-hands trips have become more commonplace. Even companies that have always done them now see their importance in a new light. They are expensive and demanding for everyone involved, but when they’re done well they can be incredibly impactful. Are you bringing your team together and feeling the stress of getting it right? Designing the time together takes strategic thinking, logistics planning, and the confidence to ask everyone to contribute to the event’s success.

Last week, we came together to connect, celebrate each other, and look forward to a bright future in our quarterly all-hands event we call Third Third Thursday or TTT. It was our first in-person all-hands event since May 2023. At Viget, we actively build our culture together. The responsibility doesn’t fall on just a few individuals' shoulders. Our events are successful because individuals show up, speak up, listen, and honor the limited time we have together in-person. This is evident in the chats over breakfast pastries, the all-in approach to competitions breakout sessions, and the peer talks and discussions throughout our events. This connection and camaraderie doesn’t just happen, we work hard to make it happen. 

Reflecting on last week’s event (and 7 years of other events), I want to share these five key planning tips to help you craft a successful event. 

Leverage your physical space to help achieve your event goals. This fall we had a smaller number of attendees and we wanted to encourage discussion throughout the event so we set up the room in large U shape to foster conversation. We also made the most of our exterior space, which featured a fire escape staircase, by hosting an egg drop competition. 

Over communicate, especially around when team members can expect breaks and when they can expect to be fed. As the event lead, I share my phone number multiple times ahead of and throughout the event. We also make sure to communicate in dedicated channels, including an event Slack channel for all attendees, a behind-the-scenes Slack channel for presenters only, and an event website. We share important key information like bus schedules and flight confirmations via email. In advance of the big day, we shared this slide with our team to both inform and inspire. 

Leave room for unstructured time and connection. Over the years we learned that some of the best discussions and a-ha moments come from chats over a meal or a snack during the “unplanned” parts of the event. Now we plan ahead for these, leaving ample time for unplanned, impromptu a-has. We think about airport Uber rides, charter bus rides, morning runs, evening board games, or late-night drinks and look for ways to grease the wheels of serendipity. This was especially important for us this fall since it had been so long since the last time we all gathered together

Look for ways to celebrate what is unique to your company. One pretty fantastic thing that comes with a quarter century in business is the community we’ve built along the way. We make a point to keep up with previous Viget employees who we proudly call our alumni. We love our alumni and enjoy recognizing their contributions to Viget. One way we do so is with annual picnics, which we host when the most current Viget employees are in town for an event. These picnics are often a great mix of reconnections and networking.

Find ways to surprise and delight. Think big and small. For example, this fall we put colored pencils and butcher block paper out during our meeting time. Our autumnal decor included blue(ish) and orange pumpkins (Viget colors!). We made a subtle callout to an internal project by serving french fries as our afternoon snack. And we surprised our team with Unreal treats for their bus rides home. The treats served as dessert and a means for us to introduce our next in-person event, our spring TTT, aka Viget25. 

Some companies advocate for all-hand retreats to be social and relaxing, but not “productive.” They tout a meeting-free event. At Viget, we see the meeting time as crucial because that is when peers share knowledge, reflect on their recent work, showcase client impact, and highlight new ideas and personal growth. Similarly, our co-founders reflect on Viget’s performance and share thoughts on the upcoming business direction. The meeting sparks genuine inspiration and creates a time for us to remember what brought us to Viget in the first place – to build world class tech in support of our clients. 

On the heels of a successful gathering, it’s time to start planning the next one. For our next event we’ll head to the Allegheny Mountains where we’ll leverage a unique and memorable venue, offer plenty of unstructured time for connection (with each other and nature), loop in alumni where appropriate, plan inspiring meeting content, enjoy many meals and treats together, and of course find ways to surprise and delight.

Maria Bamford gets personal (about) finance

In 2017, The University of Minnesota asked comedian Maria Bamford to give their commencement speech. But the University may not have known what it was in for. In her speech, Bamford told the crowd of graduates how much the university offered to pay her (nothing), her counteroffer ($20,000), and the amount they settled on ($10,000), which (after taxes and fees, etc.) she gave away to students in the audience to pay down their student loans.

Maria Bamford is a big believer in full disclosure of her finances, a philosophy she's adopted after decades in a Debtors Anonymous support group. In meetings, she learned important financial tips and tricks to go from thousands of dollars in debt to her current net worth of $3.5 million (a number which, true to her philosophy, she will share with anyone).

She spoke with us about her financial issues, how she recovered, and why she believes in total financial transparency, even when it makes her look kinda bad.

If an acount is deleted, this information is deleted from our records.

To mark World Day against Trafficking in Persons OSCE Centre in Bishkek supports public awareness raising campaign

BISHKEK, 30 July 2016 – To mark today’s World Day against Trafficking in Persons, the OSCE Centre in Bishkek supported a public awareness-raising campaign and held a public discussion with academic representatives in Bishkek and Osh.

On 29 July, in co-operation with the State Service on Migration, the International Organisation for Migration (IOM), the United Nations Office on Drugs and Crime (UNODC), the United States Agency for International Development (USAID) and local partners, the OSCE Centre raised public awareness about the risks of human trafficking in Bishkek and Osh.

Information material such as pocket calendars with the hotline number and contact information of the Kyrgyz Embassies in the five top migrant destination countries were distributed among the public. Illustrated silhouettes of people, symbolizing victims of trafficking, were displayed on posters in public places with stories in the Russian and Kyrgyz languages narrating their experience of human trafficking.

“Public awareness campaigns play an important role in the prevention of trafficking in human beings,” said William Leaf, OSCE Senior Field Representative in Osh. “The OSCE works to assist the government in improving its education and outreach efforts at the local and central levels in line with its commitments to prevent and combat all forms of human trafficking.”

In addition to the awareness-rising campaign, today the representatives of five local universities in Osh participated in a roundtable discussion organized by the OSCE Centre in co-operation with the Centre for Support of International Protection. The discussion focused on the ways of promoting inter-disciplinary research efforts among students and professors on the scope, tendencies and root causes of human trafficking in southern Kyrgyzstan.  

“As trafficking in human beings is a complex phenomenon, it requires a multi-disciplinary approach, covering, among others, socio-economic, legal, migration, human rights, gender and law enforcement aspects,” said Akylbek Tashbulatov, Director of the Centre for the Support of International Protection. “The academic community have the necessary research potential and tools to positively contribute to the development of such an assessment.”

The events were organized as part of the OSCE Centre’s project on addressing human trafficking in Kyrgyzstan through grassroots initiatives and multi-agency cooperation.

BERLIN/WARSAW, 8 April 2016 – Political leaders must play a primary role in in countering discrimination and prejudice against Roma and Sinti and improving their situation, Frank-Walter Steinmeier, OSCE Chairperson-in-Office and Germany’s Federal Foreign Minister, and Michael Georg Link, Director of the OSCE Office for Democratic Institutions and Human Rights (ODIHR), said today, on the occasion of International Roma Day.

“Political leaders at all levels must be at the forefront of efforts to end the systematic discrimination and racism that have long afflicted Roma and Sinti communities and individuals in many countries in the OSCE region,” OSCE  Chairperson-in-Office Steinmeier said. “They have to lead both by word, in delivering positive messages and not resorting to negative stereotypes and scapegoating, and by example, in ensuring the implementation of policies at all levels of government to promote the integration and full political, economic and social participation of Roma and Sinti in their societies.”

In particular, they condemned the use by some politicians of racist language and messages aimed either at promoting hatred towards Roma and Sinti or reinforcing negative stereotypes.

“Alarmingly, we still see instances where politicians resort to the politics of fear and hatred for their own perceived gain, thus stoking unfair and dangerous prejudice against Roma and Sinti. This contributes to an atmosphere in which members of Europe’s largest minority are in danger of being targeted with hate crimes, including violent assaults, and even murder,” Director Link said. “Leaders must not only refrain from such statements, but take a step further – they must publicly condemn racist speech and acts against Roma and Sinti, and counter racism and discrimination in a systematic way.”

The subject of racist, anti-Roma rhetoric used by politicians was addressed at a side event organized by ODIHR and the Central Council for German Sinti and Roma, during the Human Dimension Implementation Meeting in Warsaw, on 30 September 2015, at which participants highlighted the important role of state institutions in overcoming racism.

The Organization’s work in this area is guided by the Action Plan on Improving the Situation of Roma and Sinti in the OSCE Area, adopted in 2003, which includes measures to combat racism and discrimination, to promote greater public and economic participation, and to ensure equal access and opportunities in the areas of education, employment, housing and health services.

“The blueprint for addressing racism and discrimination against Roma and Sinti and for improving their situation already exists, in the form of the Action Plan,” said Mirjam Karoly, Chief of ODIHR’s Contact Point for Roma and Sinti Issues. “Greater political will and leadership are vital to making this a reality.”

WARSAW, 19 April 2016 – The OSCE Chairperson-in-Office, German Foreign Minister Frank Walter Steinmeier, today visited the headquarters of the OSCE Office for Democratic Institutions and Human Rights (ODIHR), in the context of the 25th anniversary of the establishment of the Office.

Chairperson-in-Office Steinmeier, who was joined for the visit by Witold Waszczykowski, Foreign Minister of Poland, met with ODIHR Director Michael Georg Link, before addressing guests and ODIHR Staff. In his address, he highlighted the background to the decision for the establishment of ODIHR in Warsaw, while stressing the continued importance of the Office’s work.

“The first democratic elections in 1989 in Poland marked the start of great change in Europe. It was not by coincidence that Warsaw was chosen as the seat of ODIHR – with this the OSCE paid tribute to the important role of the first Polish non-communist government since 1947 in the democratic re-shaping of Europe,” the German Foreign Minister said. “Today, 25 years later, I am in Warsaw to commend ODIHR, with its team of 150 people from 34 OSCE states, for its outstanding work: You are the chief promoters and defenders of the OSCE’s principles and commitments in the Human Dimension.”

“This task is never easy – it builds on your dedication to human rights and fundamental freedoms, it requires a reliable budget and it deserves the full support of all OSCE participating States,” he added. “ODIHR can count on Germany’s commitment, as OSCE Chairmanship, but also beyond.”

Director Link took the opportunity to express his thanks to both guests for their countries’ support for the Office.

“Over the past 25 years, ODIHR has grown into the OSCE’s principal human rights body, and this work is more important today than ever,” he said. “We are grateful for our host country’s continued support and appreciate the Chairperson-in-Office’s commitment to ODIHR and its mandate to promote human rights and democracy throughout the OSCE region.”

“ODIHR plays a major role not only in the process of monitoring human rights, but also in providing assistance with the implementation of commitments undertaken in the OSCE area,” said Polish Foreign Minister Waszczykowski. “ODIHR is an institution that truly makes a difference and, therefore, we fully support the work of every member of its highly devoted team.”

ODIHR was established in 1991 – originally as the OSCE Office for Free Elections – by a decision of OSCE heads of state and government at the Paris Summit in November of the previous year. The name was changed to its current form and its mandate significantly expanded in 1992, to providing assistance to governments and civil society in OSCE participating States in improving democratic governance, guaranteeing human rights and fundamental freedoms, and promoting tolerance and non-discrimination.

OSCE Chairperson-in-Office Frank-Walter Steinmeier to visit Moldova on Tuesday

CHISINAU, 25 July 2016 – OSCE Chairperson-in-Office and German Federal Minister for Foreign Affairs Frank-Walter Steinmeier, is traveling to Moldova and will have talks in Chisinau and Tiraspol on 26 July 2016.

As the Spokesperson of the German Federal Foreign Office said in Berlin today, the visit to Moldova aims at strengthening the momentum that has recently been reinvigorated in the negotiation process on the settlement of the Transdniestrian conflict. On 2-3 June 2016 in Berlin the negotiators of the 5+2 Process met for the first time after a period of two years, and committed to undertaking concrete steps, including in the fields of ecology, education, transportation and telecommunications.

“We hope that there is a chance to bring this long-standing conflict step by step closer to a settlement,” said the Spokesperson.

In Chisinau, Steinmeier will meet with Speaker of Parliament Andrian Candu, Prime Minister Pavel Filip, Deputy Prime Minister and Minister of Foreign Affairs and European Integration Andrei Galbur, and Deputy Prime Minister for Reintegration and Moldovan Political Representative Gheorghe Balan.

In Tiraspol, the Chairperson-in-Office will meet a representative of the Transdniestrian leadership, Pavel Prokudin, Speaker of the Supreme Soviet, Vadim Krasnoslesky and the Transdniestrian Political Representative, Vitaly Ignatiev.

OSCE Chairperson-in-Office Steinmeier, in Moldova, calls for swift and full implementation of confidence-building measures

CHISINAU / TIRASPOL, 26 July 2016 – OSCE Chairperson-in-Office, German Foreign Minister Frank-Walter Steinmeier, in Moldova today had talks with high-level Moldovan officials as well as with representatives from the Transdniestrian leadership. Steinmeier also visited the offices of the OSCE Mission in Moldova on both sides of the Dniester/Nistru River, in Chisinau and Tiraspol, and acknowledged their valuable work towards the Transdniestrian conflict settlement process. 

In Chisinau, Steinmeier met with Speaker of Parliament Andrian Candu, Prime Minister Pavel Filip, Deputy Prime Minister and Minister of Foreign Affairs and European Integration Andrei Galbur, and Deputy Prime Minister for Reintegration and Moldovan Political Representative Gheorghe Balan. During these talks Steinmeier was joined by his Special Representative for the Transdniestrian Settlement Process Ambassador Cord Meier-Klodt and the Acting Head of the OSCE Mission in Moldova Stephen Young.

Speaking to the media at a joint press conference with Prime Minister Filip, Steinmeier stressed the importance of the role of the OSCE and the unified approach of all international partners, while calling on the sides to remain fully committed to the settlement of this long-standing conflict. “The success in the settlement process fundamentally depends on the resolve of the sides to achieve progress to the benefit of the people. But it is also a result of the remarkable unity of international partners.” Besides the OSCE, the international partners are the Russian Federation, Ukraine, the European Union and the United States of America.

“With a view to the Transdniestrian conflict we have recently made considerable efforts to inject new momentum to the negotiation process between the sides which had come to a standstill for quite some time,” Steinmeier said. He continued that it was a priority now to ensure a sustainable effect of the 5+2 talks which resumed in Berlin on 2 and 3 June 2016.

“We must now, as a first step, tackle those problems that can be solved pragmatically in order to enhance the trust between the sides that is necessary for more far-reaching measures.” As examples of such confidence-building measures, Steinmeier referred to the re-connection of telecommunication networks, the apostilisation of Transdniestrian university diplomas and progress on the car license plate issue.

At his talks in Tiraspol with representatives of the Transdniestrian leadership, Pavel Prokudin and Vitaly Ignatiev as well as with the speaker of the Supreme Soviet Vadim Krasnoselsky, Steinmeier called on the sides to implement the Berlin Protocol from June 2016 in a swift and comprehensive manner. Steinmeier, during his visit, also re-affirmed the parameters of the settlement process, which is the territorial integrity and sovereignty of Moldova with a special status for Transdniestria.

OSCE-supports training course for newly recruited personnel of a rehabilitation centre in Kyrgyzstan

Some 20 newly-recruited personnel of the Atlantis rehabilitation centre took part in a two-week capacity building training course, conducted in the premises of the penal colony in the village of Novopokrovka, which concluded on 10 June. The event was organized by the Kyrgyz State Service for Execution of Punishment (SSEP) and the OSCE Centre in Bishkek.

OSCE-supported international trainers and specialists on therapeutic work with drug- and alcohol-addicted prisoners presented the Minnesotan treatment model, which is recognized as a global best practice among psychotherapeutic programmes for treatment of people with such problems, and organized practical sessions on the development of therapeutic skills.

“Specific professional training is critical to enable the staff of the penitentiary service to carry out their work in full safety,” said Daniele Rumolo, Senior Human Dimension Officer at the OSCE Centre in Bishkek. “Providing them with the necessary skills to effectively deal with specific categories of prisoners is also crucial to prevent criminal activities inside the prisons and enhance the respect of the rule of law.”

The course is part of an OSCE project on supporting the implementation of the National Strategy on the Development of Penitentiary System “Umut-2”. The project addresses the human rights situation and safety in penitentiary establishments through capacity building activities for prison staff.
